Background checks

Background checks you do not have to chase.

We investigate and we deliver. You see progress in real time, you know exactly who is holding up each file, and you get a structured result — not a loose PDF that arrives by email when somebody remembers.

What you get

Five concrete things, from the first case.

These are not service promises: they are deliverables. This is what changes compared with how you receive it today.

The result of each verification, separately

Identity, employment history, education, criminal records, OFAC and references. Each with its own result, its finding and its evidence — not all of it mixed into a twenty-page document.

Visibility without writing a single email

Log in and see where each case stands. If something is stalled, see why and on whom it depends. No more “how is Mariana’s coming along?” on Tuesday morning.

Knowing whose move it is

The system separates whether the file is waiting on the candidate, on us, or on a third party. You stop chasing the vendor when the one not responding is the candidate.

The final report when it closes

Overall result, detail per verification, observations and who released it. Downloadable, and available online when you need it again six months later.

The monthly cut, already assembled

How many checks, of what profile and from which department. Reconciliation stops being a spreadsheet somebody builds by hand and checks against the invoice.

The problem

Most of the time lost is not investigation.

It is coordination: emails waiting for a reply, documents that arrive illegible and get requested again, calls nobody answers, and a spreadsheet somebody updates when they can.

That is why the end-of-month conversation can never be held with data: the total time of a file includes however long the candidate took, and that does not measure the vendor. Separating the two is half the value.

How it works

From request to delivery, step by step.

Your team is involved at two moments: requesting and receiving. The rest runs on its own, and you watch it happen.

  1. Your team requests the check

Candidate name, email, phone, position and verification profile. The profile already defines which verifications apply at that level, so there is nothing else to choose.

    Time2 minutes

  2. The candidate gets their link

A direct link arrives by email. They enter their details and employment history and upload documents from their phone. They can save progress and come back. If something is rejected, they learn why right then, not three days later.

    TimeAutomatic

  3. The automatic verifications start

Identity, employment history, social security contribution records, criminal records, OFAC and international watch lists are resolved against online sources as soon as there is enough data. They do not wait for the file to be complete.

    TimeMinutes

  4. The analyst works the human part

Employment references, academic validation and everything that requires calling a company or an institution. Every contact attempt is logged with the date, the channel, the person and the outcome.

    TimeIn parallel

  5. Quality review and release

Before delivery, a second person checks that every verification has a result and evidence. They can send a verification back to the analyst if something is missing. Who released it, and when, is on the record.

    TimeSame day

  6. You receive the report

With the overall result, the detail per verification and the evidence. Downloadable and available online afterwards.

Scope

What we verify, and you define which ones apply.

Not every position requires the same thing. Verifications are grouped into profiles by level, and every request inherits a profile instead of being assembled by hand.

Identity validation

Official documents, CURP and RFC (the Mexican population and tax identifiers), and whether they are consistent with each other.

Employment history

Declared jobs against the official record, with the discrepancies flagged.

Social security contribution records

The IMSS certificate of contributed weeks, and whether it is consistent with the declared career.

Employment references

Phone contact with each employer, with every attempt on the record.

Academic validation

Degree and program confirmed directly with the institution.

Criminal and judicial records

Searched in whichever sources apply to the jurisdiction.

OFAC, sanctions and global scan

International sanctions lists and politically exposed persons.

If you already work with other vendors

One standard across your whole program.

Most organizations work with more than one background check vendor, and end up with as many formats and turnaround times as they have vendors. The platform we run lets you bring all of them under the same standard of statuses, timings and reporting.

  • Your current vendors keep using their own tools, their own sources and their own methodology. The only thing asked of them is to record the result of each verification, with its evidence, inside the platform.
  • Every check in the program on one screen, no matter who runs it. No more consolidating three files in three formats at the end of every month.
  • Each vendor sees only the cases you assigned to them, never another vendor’s. You see all of them, under the same standard.
  • Vendor evaluation stops being based on impressions and starts being based on the time attributable to each one.

Onboarding additional vendors, the access each one gets and the terms of use are defined when the program is designed, along with the scope and the profiles.

Limits

What we do not do, said plainly.

Scope and obligations

The hiring decision is yours. We report findings with their evidence; we do not rate a candidate as suitable or unsuitable. A vendor who hands you a traffic-light score is making a decision on your behalf that is yours, and that you have to be able to defend.

A finding is not a conclusion. When a declared fact does not match the record, we present the discrepancy and the candidate’s explanation if they gave one. The judgment belongs to whoever is hiring.

This handles personal data, and some of it is sensitive. A background check requires the candidate’s informed consent before it starts, and it obliges you to define how long each file is kept and who may consult it. That gets settled when the program is designed, not afterwards.

The platform

KNOX BGC is how it gets delivered.

The real-time tracking, the separation of who owes what, the candidate file and the structured report all come from KNOX BGC, our screening module. You do not have to buy the platform: it comes with the service.

Frequently asked

What people ask before starting.

How long does a background check take?
The automatic verifications resolve in minutes. What defines the total time is references, institutions and, above all, how long the candidate takes to upload their documents. That is why the report separates the time attributable to each party.
What does it cost?
It is quoted per verification profile, because not every position requires the same thing. The price comes out of defining the profiles for your organization, and that is a half-hour conversation.
Do I need the candidate’s consent?
Yes, and it is required before anything starts. The workflow collects it as the first step, it is recorded, and it forms part of the file.
We already work with another vendor. Do we have to replace them?
No. The platform supports several vendors under one standard, so you can add us without removing anyone and compare on data instead of impressions.
Can I look up an old file?
Yes, online, for whatever retention period is defined when the program is designed. It does not depend on finding a PDF in an email from eight months ago.
What happens if a candidate has a finding?
It is reported with its evidence and, where the candidate gave an explanation, that is included too. We do not disqualify them: we give you what you need to decide and to be able to stand behind the decision.

Next step

Let us start by defining the profiles.

Half an hour to define which verifications apply to each level of position. The scope and the price come out of that.
